One of the most immediate and practical uses of AI for office professionals is using ChatGPT to write Excel formulas. What used to take 20 minutes of Googling, trial, and error — building a complex nested IF with VLOOKUP and TEXT formatting — now takes 10 seconds. But the quality of the formula you get depends almost entirely on how you describe the problem.
The Prompting Formula That Works Every Time
Weak prompt: 'Write me an Excel formula to calculate something.' Strong prompt: 'I have a spreadsheet with sales data. Column A has product names, Column B has sales dates in DD/MM/YYYY format, Column C has sales amounts. Write an Excel formula that sums all sales amounts in Column C where the product in Column A is "Excel Course" AND the sale happened in March 2026.' The difference is specificity — column letters, data types, exact conditions, and expected output.
What ChatGPT Does Well (and Where It Fails)
- ✅ Single-purpose formulas with clear logic — nearly always correct.
- ✅ Explaining what an existing formula does — paste any formula and ask it to explain step by step.
- ✅ Converting VLOOKUP to XLOOKUP — reliable and saves time.
- ⚠️ Complex array formulas — usually correct but always test before using in production.
- ❌ Formulas referencing named ranges or tables it can't see — it will guess and often guess wrong.
- ❌ Macros and VBA — possible but needs careful review; don't run untested VBA on live data.
Best Practice: Always paste ChatGPT's formula into a test sheet with sample data before using it on real data. AI-generated formulas are a starting point, not a finished product — and catching an error in a test sheet is far better than catching it after you've sent a report to your manager.
